A WhatsApp companion chatbot is being deployed for an event agency to support employees during an event. It centralizes all practical information related to the event: schedule, meeting points, programs, menus, workshops, accommodation, and transport. The chatbot instantly answers participants' questions, allowing organizers to focus on overall coordination and specific requests.
The need
During a corporate event, the same questions keep coming back: what time, which room, where the shuttle leaves from, what the programme includes. Organisers answer them by message and by phone, at the very moment they need to run the event.
How it works
Participants write to the chatbot on WhatsApp, an application they already use. The event information is the source of the answers, and a workflow frames each call to the model with control steps. Specific requests are still handled by the organising team.
What the project shows
A first AI project does not need to be ambitious to be useful. A steady volume of questions, sources that already exist and an organiser who keeps control over special cases are enough to make it a good first use case.
